The Specialist, Accounts Payable will play a crucial role in maintaining financial records, with a primary focus on processing invoices for payment. This position requires meticulous diligence, efficient data processing, and adherence to confidentiality standards for both business and personal records. The successful candidate will work closely with the Finance and Accounting team and is relied upon as a vital and integral part of the department. The ideal candidate has three or more years of experience in accounts payable, strong attention to detail with a dedication to accuracy, basic knowledge of GAAP and accounting principles, and excellent written and verbal communication skills.

As our Specialist, Accounts Payable, you will:

  • Manage Accounts Payable program in Concur, review invoices and route for approval prior to processing, determine appropriate accounting treatment and properly code invoices in the system
  • Manage company travel & expense program in Concur; prepare batches in accounting system for reimbursement
  • Manage corporate credit card portfolio including reconciling expenses in credit card statements to expense reports
  • Serve as a point of contact for all vendor related issues on purchase orders, billing discrepancies, supporting documentation, etc
  • Organize and analyze data, prepare reports and summary information as required
  • Responsible for preparation & issuance of 1099s
  • Reconcile vendor’s statements, research and correct discrepancies such as duplicates, etc
  • Maintain AP files and documentation thoroughly and accurately in accordance with accounting practices
  • Provide supporting documentation for audits
  • Prepare account reconciliations and timely close Accounts Payable sub-ledger on a monthly basis
  • Own the month end closing process as it relates to prepaid and accrued expenses
  • Sort and distribute incoming mail in our Chelsea Piers office
  • Assist with other projects and ad-hoc reporting as needed

You have:

  • A Bachelor’s Degree required, preferably in business, finance, or accounting
  • 3-5 years of accounts payable experience
  • Knowledge of general accounting procedures
  • Experience with Concur required
  • Experience with NetSuite a plus
  • Experience managing a corporate credit card program
  • Working knowledge of Google Workspace (Docs, Slides, Sheets)
  • Ability to work effectively in dynamic, rapidly changing, team-based environment
