💰 Salary: We are open to negotiating the salary based on your background and experience level.

Working Rhythm: This full-time position requires flexibility in working hours, as shifts may vary. Team members will be scheduled to work either weekday (Monday to Friday) or weekend (Saturday to Wednesday) shifts, depending on operational needs. The schedule will include rotating shifts, which means that the time of work may also change periodically. This could involve morning, afternoon, or night shifts. The ability to adapt to different schedules and maintain consistent performance is essential for this role.

🤝 Reporting To: Depending on the team you will report to either Camille Rivera, Lead Success Advisor or Cedie Villaseñor, Lead Success Advisor.

A Day in the Life of a Learner Affairs Specialist☀️

No two days are exactly the same in this dynamic role! Your schedule will be guided by the learner journey and milestones, learner inquiries, and scheduled calls with learners from our global community. You'll embrace the flexibility to attend diverse advising sessions, balancing your work across different time zones. Here’s a snapshot of what you might encounter:

☀️ Morning: Your day at Nexford University begins with a cup of coffee and a quick check of your emails and messages. You prioritize any urgent requests from learners and respond to those needing immediate assistance. Next, you review the academic progress reports of the learners, identifying those who may need extra support. You then prepare for your advising sessions, where you provide personalized guidance to help learners stay on track with their academic goals.

🕛 Midday: By midday, you’re diving into your scheduled advising sessions. These involve one-on-one meetings with learners to discuss their academic plans, address any concerns, and offer advice on academic and personal matters. You also spend time updating learner records in the university’s systems, ensuring all interactions and progress are accurately documented. A quick lunch break allows you to recharge before the afternoon activities.

🌤️ Afternoon: The afternoon is dedicated to proactive outreach. You reach out to learners who have shown signs of disengagement, offering support and resources to help them re-engage with their studies. You also respond to learners’ messages and inquiries using our CRM platform. Throughout the day, you use various technology tools like Canvas LMS, Microsoft Suite, Freshdesk, PowerBI, and Hubspot to streamline your advising operations and track learner participation.

🌙 Evening: As the day winds down, you focus on administrative tasks. This includes completing required university reports on learners’ academic status and preparing for the next day’s activities. You also make time to respond to any remaining emails and phone calls, ensuring all service needs are resolved within set deadlines. Before logging off, you review your schedule for the next day, making sure you’re prepared to continue providing exceptional support to our learners.

This structured yet dynamic routine ensures that you’re always engaged, proactive, and ready to support learners in their academic journey at Nexford University.

  • Learner Outreach: Maintaining regular proactive and reactive communication with learners, according to university protocol.
  • Query and Case Management: Providing exceptional support service by responding to learners’ emails and phone calls with resolution of all service needs within set deadlines.
  • Advising Sessions: Assisting learners in their academic planning and progress from orientation to graduation.

The Variables 🔄:

  • Webinars and Live Sessions: Providing direct, comprehensive program guidance to learners.
  • Learner Advocate: Serving as the learners’ mentor and guide in resolving matters of difficulty, misunderstanding or confusion within the university.
  • Engage in University Affairs: Participate actively in university meetings and huddles, and contribute to departmental and university-wide initiatives, helping to shape the future of Nexford.

Skills and Qualifications 🌟

  • Bachelor’s degree in Education, Psychology, Counselling, or a related field.
  • At least 3 years of professional experience in academic advising and/or teaching in higher education.
  • Excellent academic advising and counselling skills.
  • High emotional quotient, sound judgement, and solid decision-making skills appropriate for NXU’s fast paced and entrepreneurial culture.
  • Strong customer service orientation and English communication skills: both verbal and written.
  • Experience with a direct customer service role is a plus.

  • Academic Start Management Optimization: Optimizing the management of academic start rates by applying a balanced utilization of high-tech and high-touch resources focusing on proactive outreaches and timely intervention.
  • Learner Support Reinforcement: Strengthening the support provided to learners focusing on the onboarding experience of newly enrolled learners, advising needs of at-risk learners, and overall learner-journey-based communications.
  • Learner Satisfaction Enhancement: Enhancing the overall interaction between learners and their success advisors in advising sessions through the implementation of best practices in quality assurance and academic advising.
  • Learner Academic Performance: Improving the guidance provided to learners to help them remain in good academic standing and to ensure learner persistence and academic policy compliance.
  • Inactive Learner Management Optimization: Enhancing the support and outreach provided to inactive learners to encourage readmission/re-enrolment.
